Job Description Summary

As part of the end-to-end logistics process & organization, the Outbound Logistics Administration officer is responsible to assure complete, compliant and timely logistics documents & customs declarations for Outbound flows going through the European Distribution Center (EDC) in Olen and serving the EMEA region and this in full alignment of the service level agreement. This includes acting as a point of contact for internal- and external stakeholders to maximize customer experience through optimizing impact on OTIF (On Time In Full)

Main responsibilities will include:

Timely and accurate preparation of logistics Administration

• Ensure efficient & effective administrative handling of paperwork for EDC departures in scope

• Prepare correct in- & outbound documents while meeting BD Compliance and Export Regulation requirements. Assure documents such as CMR, delivery notes, invoices, customs documents, certificates, dangerous goods documents are available before departure.

Internal and external stakeholder communication

• External: assure necessary information flow to carriers, customs authorities , customers , incl EDI ( Electronic Data Interchange)  …
• Internal: assure communication and collaboration with internal stakeholders such as Customer Care, Trade Compliance Center of Excellence, In & Outbound transport and warehouse/wave planning, …
• Act as a gatekeeper for the trucks arriving on the premises and as a first point of contact for the truck drivers. For outbound shipments: Handle the check-in, guide the drivers to the correct gate and handover the documentation for loading, as well as archive the documents in a correct way after loading.

Assure Trade & Quality compliancy

• Prepare compliant outbound documents for shipments
• Assure correct archiving of all compliance files and electronic messages
• Strictly follow up of operational processes and report any non-conformities immediately - interact with Trade Compliance Center of Excellence
• Assist in execution of internal and external audits by notified bodies (pre-shipment inspection), by local Customs Authorities, by external auditors (for Sarbanes Oxley)

KPI management & reporting

• Setup, report and manage a set of KPI’s

Assure compliance with ISO 13485 requirements

• Comply to QMS (Quality Management System) requirements
• Assure up to date processes, job descriptions and work instructions for your process and team compliant with ISO 13485 guidelines
• Assure representation in audits
  

Education and Experience:

• Bachelor or master’s degree in Logistics, Supply chain or equivalent
• Proven experience in Logistics Administration, customs & transportation planning
  

Knowledge and Skills:

• Good insight in end-to-end logistics processes
• Good Analytical skills & insight in management of KPI’s
• Customer centric and continuous improvement mindset. You are assertive, stress resistant and show flexibility. 
• Good communication skills, incl. ability to work effectively in a matrix organization
• You are fluent in Dutch and English, both verbal and written. Any additional language is a plus!
• Experience with SAP and experience in QMS (Quality Management System – ISO 13485 / CAPA – Corrective Actions, Preventive Actions) are strong plus
